1. Monthly Service Payments
The Gallery Office does not automatically charge or renew monthly service payments.
Each month of service must be paid separately by the photographer or studio. Payment confirms and activates services for that specific service period.
Because payments are not automatically renewed, photographers are not charged for a future month unless they choose to continue services and submit the corresponding payment.
Once payment has been submitted and the applicable service period has begun, the payment is non-refundable, including in cases where the photographer chooses not to use all available services during that month or decides to discontinue services before the end of the paid period.
If a photographer does not wish to continue for another month, they may simply choose not to submit payment for the next service period. No future payment will be automatically collected.
For Founding Members, interruption or discontinuation of service may affect eligibility for the Founding Member rate in accordance with the applicable Service Agreement.
2. Services Already Performed
Payments are non-refundable once work has begun.
This includes, but is not limited to, gallery or store management, pricing setup, product or package configuration, marketing or sales campaigns, client communication, album or product design, consultations, account review, and other services performed by The Gallery Office during the applicable service period.
The Gallery Office reserves time and resources for each active photographer or studio based on the services purchased. Unused services, unused time, or a decision not to submit requests during an active paid period do not create eligibility for a refund, credit, or reimbursement.
3. Album & Product Design
The Gallery Office may provide album, photo book, and other product design services.
To protect the accuracy and integrity of the final design, all design modifications and revisions must be completed exclusively by The Gallery Office.
Clients should not independently modify, rearrange, replace, add, remove, or otherwise alter images, layouts, covers, or other design elements after a design has been prepared by The Gallery Office.
The Gallery Office will provide the client with the completed design or applicable proof for review. If changes are requested before approval, those changes must be communicated to The Gallery Office so that our team can make the appropriate revisions.
4. Written Design Approval
Before a client proceeds with an order, The Gallery Office will request written approval of the final design.
The client is responsible for carefully reviewing the proof, including, as applicable:
- Image selection and placement;
- Page layouts and spreads;
- Text or other personalized information;
- Album or product configuration; and
- Cover design, including any cover proof or screenshot provided for approval.
Written approval confirms that the client has reviewed the applicable design and authorizes it as presented.
Once written approval has been received, the design will be considered final and approved.
The Gallery Office will then provide instructions or guidance to help the client proceed with checkout.
5. Checkout & Product Payments
The Gallery Office does not complete checkout on behalf of the photographer's client and does not collect the client's payment for albums or other physical products.
The client is responsible for reviewing the final order details and completing checkout directly through the photographer's gallery, store, or applicable third-party platform.
The Gallery Office may provide instructions and assistance during this process, but the final purchase and submission of the order remain the client's responsibility.
6. Changes Made After Written Approval
Once written approval has been provided, any changes independently made by the client are outside the approved design prepared by The Gallery Office.
If, after providing written approval, a client independently changes the album or product design before placing the order, The Gallery Office cannot be responsible for errors, omissions, layout changes, image changes, cover changes, production issues, or other problems resulting from those modifications.
In these circumstances, The Gallery Office will not provide or fund a refund, reimbursement, replacement, reprint, or remake resulting from changes made by the client after approval.
If assistance is requested, The Gallery Office may review the situation and help communicate with the photographer, platform, or applicable production provider when appropriate; however, such assistance does not mean that The Gallery Office assumes financial responsibility for the order.
7. Approved Designs & Remakes
Written approval represents the client's confirmation that the design is acceptable for ordering.
If an album or product is ordered exactly as approved and the client later changes their mind regarding an approved design choice, image, layout, cover, or other previously approved element, The Gallery Office is not responsible for the cost of a remake, replacement, reprint, reimbursement, or refund.
Similarly, The Gallery Office does not cover remakes or replacements required because of:
- Changes made by the client after written approval;
- Incorrect selections made during checkout;
- Ordering the wrong product, size, material, cover, quantity, or other option;
- Client-provided information or instructions that were incorrect;
- Changes of preference after an approved product has been ordered; or
- Other actions taken outside the final design approved through The Gallery Office.
8. Manufacturing, Shipping & Third-Party Issues
The Gallery Office is a service provider and is not the manufacturer, print lab, shipping carrier, gallery platform, or payment processor responsible for producing or fulfilling physical products.
Manufacturing defects, shipping damage, lost packages, fulfillment errors, platform errors, or other issues caused by a third-party provider are subject to that provider's applicable policies.
While The Gallery Office may assist with communication or help the photographer/client understand the appropriate next steps, we cannot guarantee that a third-party provider will issue a refund, replacement, credit, or remake, and The Gallery Office does not assume the financial responsibility of those third parties.
9. No Refunds for Completed or Approved Design Services
Design services represent professional time and work performed by The Gallery Office.
Accordingly, once design work has been completed and/or approved, the design service itself is non-refundable, regardless of whether the client ultimately completes the product purchase.
Approval of a design does not constitute the purchase of the physical product from The Gallery Office.
10. Questions or Concerns
If a photographer or client identifies a concern with a design, they should contact The Gallery Office before providing written approval and before placing the order.
We encourage clients to review all proofs carefully and request any necessary revisions before approval. Our team will work with the client through the applicable revision process before the design is finalized.
Once written approval has been provided and the order has been submitted, the limitations described in this policy will apply.
